Document and workflow automation
Stop retyping invoices and documents by hand
Accounting retypes every PDF invoice, staff copy orders from the website into Excel, and at month end the whole team builds reports by hand. I build software that reads the documents, checks them, sends anything it isn't sure about to a person for review, then puts the data into the Excel files, accounting software or CRM you already use. It always starts with a small trial project.
See what can be automated- You work directly with the engineer, no middleman.
- Scope, price and timeline agreed in writing before any work.
- NDA available if you need one.
Worth doing when
- Someone spends part of every day retyping invoices, orders or forms from PDFs or photos.
- The same data is entered into the website, Excel, the CRM and the accounting software.
- Weekly or monthly reports are put together by hand from several sources.
- Typing mistakes have already caused trouble with customers or the books.
What can be automated
- Read invoices, orders and forms (PDF or scanned), check them, send anything uncertain to a person, then push the data into Excel, accounting software or a CRM.
- Keep data in sync between your website, CRM and internal systems through their APIs.
- Scheduled reports and alerts. When something fails, you can see where.
Good to know
- The trial has a fixed scope. Before starting we write down how things work today (how long it takes, how many errors) so we can compare afterwards. Going further is quoted separately.
- Software can't read Vietnamese documents with 100% accuracy, especially blurry photos. That's why a person always checks the results.
How it works
4 steps, each one known in advance
- 01
Look at today's process
You show me some sample documents and how staff handle them. I tell you plainly what can be automated and what isn't worth it.
- 02
Record the baseline
We note how long each task takes and how many errors there are, so the trial has numbers to compare against.
- 03
Run the trial
Fixed scope, 2–6 weeks, with a review step wherever the software isn't sure.
- 04
Measure and decide
Compare with the baseline. If the benefit is clear, expand with a separate quote. If not, stop there.

FAQ
Common questions
Does it have to use AI?
Not necessarily. A lot of this works with clear rules, which is cheaper and more reliable. AI is only used where it's really needed, for example documents with varying layouts.
How accurate is reading Vietnamese invoices?
Not 100%, especially with blurry photos or handwriting. That's why there's always a review step for fields the software isn't sure about, so wrong data doesn't go straight into the books.
Do we have to change our software?
No. Data goes into the Excel files, accounting software or CRM you already use, through an API if it has one, or through an import file if not.
Is our document data safe?
How data is stored and handled is agreed before any work, with an NDA if you need one. If an outside service is needed, such as a document-reading service, I tell you which one and where the data goes so you can decide.
Do we sign a contract?
Yes. Before any work starts, the scope, cost, timeline and how the work is signed off are put in writing. I'm happy to sign an NDA as well if you need one.
How do you keep code and data safe?
I only ask for the access the job needs and give it back at handover. How data is handled and an NDA are agreed before we start. Please don't send passwords or API keys through the form on this page.

What is your team still doing by hand?
What kind of documents, roughly how many a day, and where they're entered. I'll tell you whether automating it is worth it.
- I only take on a few projects a month so each one gets proper attention.
